Start with the restaurant’s official online booking page. If it does not accept your phone number, ask your accommodation for help, or see whether a reservation concierge service can book it for you. Before you book, find out how you would change or cancel it.
An English form does not necessarily accept overseas phone numbers. Check its contact and SMS requirements using the checklist below.
Official information checked on 5 October 2026. This guide is based on published booking instructions, not a personal booking test. Availability, fees and contact requirements can change.
Help shape a future service: Would English-language restaurant booking support be useful to you? Take our 1–2 minute survey. Your answers will help us decide whether to build it. This is research, not a reservation request; the service is not available yet.
First, identify what is stopping you
- You cannot make ordinary phone calls: use an online booking route, but check how the restaurant handles urgent changes. Do not assume your data-only SIM includes voice service.
- You cannot speak Japanese on the phone: look for an English reservation form or ask whether your accommodation or a concierge can communicate with the restaurant.
- The form rejects your overseas number: check whether it offers a country or country-code selector, and follow its formatting instructions. If it only accepts Japanese numbers, ask for an alternative booking method.
- You cannot receive an SMS code: We found no official statement that TableCheck or JPNEAZY requires an SMS code to make a booking. Your card issuer may ask for a one-time code during 3-D Secure payment checks; ask your issuer how it delivers these codes while you are abroad. If any step insists on a code you cannot receive, contact the provider or choose another route.
If you keep your home SIM active, check with your carrier whether it can receive SMS in Japan and what charges or settings apply. This guide does not verify individual carriers. Never invent a Japanese number or enter your hotel’s number without its permission.
1. Start with the restaurant’s official website
Check the exact restaurant and branch, then follow its official “Reserve,” “Book a table,” or オンライン予約 link. A booking service linked from that website may be the restaurant’s normal online channel.
Before entering payment details, read the venue’s instructions for your date, party size, children, menu and special requests. An available online form does not mean every type of booking can be handled entirely online.
For example, SKY J at JR Tower Hotel Nikko Sapporo links to online reservations. However, its TableCheck venue instructions (Japanese) say that same-day changes and cancellations are handled by phone, and that requests entered in the remarks field are followed up by phone. The venue also says a booking may be cancelled if staff cannot reach the guest 30 minutes after the reserved time, and asks guests to get in touch if they will be late. If you cannot take calls, agree on a workable contact arrangement before relying on this route.
The English Garden Dining Waraku booking page at Sapporo Grand Hotel also asks for a mobile number and email address, and requires you to sign in to or create a TableCheck account before submitting the request. Guests with requests that need discussion, such as allergies, and parties of more than nine are asked to contact the reservation desk instead. These are examples of published conditions—not confirmation that either venue will accept every overseas number.
2. Use TableCheck, but check the specific booking form
TableCheck’s customer-information guide requires a name, telephone number and email address. Its general guidance allows a mobile or landline contact number; individual forms may ask specifically for a mobile number. The venue uses this number to contact you about the booking, so a number you cannot answer during your trip may cause problems.
We could not confirm that every overseas number works at every venue, or that bookings never require SMS verification. Use your genuine number with the correct country setting where supported. If you cannot receive calls on it during your trip, ask the venue whether email contact is acceptable.
TableCheck’s confirmation guide explains how to check a booking through the confirmation page, email, a linked account or—if you entered a mobile number and opted in to text notifications—an SMS link. Delivery of SMS to overseas numbers was not verified. Receiving notifications by SMS or email does not tell you whether a particular booking will require a verification code.
If an email does not arrive, check spam folders and the address you entered; consult TableCheck’s notification troubleshooting guide. Check the booking status before submitting again to avoid duplicate reservations.
3. Ask your accommodation what help it can provide
For a phone-only restaurant, ask your own hotel or other accommodation whether staff can help with a reservation call. Provide the restaurant’s official link, preferred date and time, alternatives, party size, children’s ages if relevant, and any essential requirements.
Ask whether assistance is available before check-in, whether a fee applies, whether the restaurant accepts third-party arrangements, and who will handle changes. Do not assume every property offers this service or that it is free.
Policies vary from hotel to hotel. For example, Hotel Emion Sapporo’s APR dining-voucher accommodation plan (Japanese) explicitly says the hotel does not make restaurant reservations on guests’ behalf for that plan. A dining voucher is not the same as a table reservation.
If staff agree to help, ask them to confirm the final date, time, branch, name on the booking, cancellation terms and contact arrangement in writing. Only give the hotel’s phone number if the hotel agrees and the restaurant accepts it. Do not use it to get around SMS verification.
4. Consider a reservation concierge for supported restaurants
JPNEAZY offers restaurant reservation assistance without the guest needing to speak Japanese, and its site includes Hokkaido as a destination. Check whether your chosen Sapporo restaurant is supported and whether your contact details meet the current requirements. This is not a guarantee that any phone-only restaurant can be booked.
Under its published handling-fee policy, course reservations carry a fee of 10–15% of the course price, depending on the restaurant, in addition to the course price. Table-only reservation fees vary by restaurant and are not a meal deposit. The handling fee is non-refundable once the reservation is confirmed. Check the exact amount on the restaurant page and confirmation.
JPNEAZY’s terms and cancellation policy explain that most requests need staff to contact the restaurant before confirmation, with some exceptions. Communication is by email. Request changes or cancellation by replying from your booking email address, or include your reservation ID when contacting support.
Its cancellation instructions say that cancellations of confirmed bookings must be requested by noon Japan time on the deadline day. Days when the restaurant or JPNEAZY is closed affect how that deadline is calculated. Restaurant cancellation charges can apply in addition to the non-refundable handling fee. Contact JPNEAZY rather than cancelling only with the restaurant.
The main site and help centre display different support-hour information. Confirm current hours and the precise deadline in your booking correspondence; do not rely on an immediate reply for a same-day problem. Overseas-number acceptance and SMS requirements were not verified for every JPNEAZY booking flow.
A request is not a confirmed reservation
A submitted form, an acknowledgement email or a pending card transaction is not enough to establish that a table is secured. TableCheck explains that some venues manually approve bookings: a pending request becomes final after the venue accepts it.
- Requested or pending: wait for acceptance. Do not arrive assuming a table is reserved.
- Confirmed or accepted: verify the restaurant and branch, date, local time, party size, menu and name.
- Payment still required: complete any legitimate payment step by its stated deadline. JPNEAZY’s terms explain that unresolved payment can lead to cancellation.
- Changed or cancelled: keep the final acknowledgement or updated booking status, not just your outgoing request.
Check costs and cancellation terms before you book
Read the total at checkout. Distinguish the meal price from a booking fee, service charge, prepayment and a card authorisation hold. A hold is not the same as a settled meal payment; neither guarantees a confirmed booking. Do not assume online reservations are always free.
For TableCheck bookings, online changes depend on the venue’s settings. Its cancellation guide describes cancellation through the confirmation link or account, but directs guests to the restaurant if the system cannot process it. Check the resulting status and save the cancellation notice.
If direct contact is needed, look for an official email address, contact form or another channel the venue accepts. TableCheck says it cannot contact restaurants on diners’ behalf. A message with no reply does not count as an agreed change.
For accommodation-assisted bookings, use the contact arrangement you agreed with staff. For concierge bookings, follow that service’s instructions and deadlines. If the only urgent contact method is a phone call you cannot make, arrange help before booking—or choose a venue with a manageable contact route.
Messages you can copy: English and Japanese
Replace the bracketed details before sending. Use the restaurant’s or accommodation’s official contact channel. These messages ask about assistance; they do not confirm a reservation.
Ask a restaurant about booking by email
English
Hello. I would like to book a table for [number of guests] on [date] at [time, Japan time]. I do not have a Japanese phone number and cannot make or receive phone calls during my trip. Would it be possible to book with my email address as my contact? If so, can changes and cancellations also be handled by email? Please let me know any fees and deadlines. Thank you.
Ask your accommodation for reservation help
English
Hello. I have a stay booked under [name] for [check-in date] to [check-out date]. Could you help me reserve [restaurant name and official URL] for [number of guests] on [date] at [time, Japan time]? I do not have a Japanese phone number and cannot make the reservation call myself. Please let me know whether you can help, whether there is a fee, and how I should request changes or cancellation. Thank you.
Edit the wording to match your situation. If you can receive calls on an overseas number, say so instead. Add children’s ages or dietary requirements when relevant. Wait for explicit confirmation before treating the table as booked.
Your final booking checklist
- Correct Sapporo restaurant and branch, with the date and time in Japan time.
- Accurate contact details and an agreed way to reach you during the trip.
- Final accepted status, plus any required payment completed.
- Full price, non-refundable fees and cancellation deadline understood.
- A practical method for changing plans or reporting a delay.
- Confirmation details saved so you can show them at the restaurant.
If none of the available routes works, choose another restaurant with suitable online booking or ask locally about walk-in availability. If a form will not take your details or a booking does not go through, that alone does not tell you why the restaurant could not accept you.
